Process automation and AI

Automate recurring work. Gain time for what matters.

Typing the same data into two programs, filing receipts by hand, gathering monthly figures in Excel: I automate such processes in your office. AI is only used where it takes work off your hands, and a person approves whatever is binding.

Describe your process Arrange a call

  • Fixed price before work starts
  • Approval by a person
  • Fixed upper limit for AI costs
  • Servers in Germany

Possibilities

What an automation can do.

Examples, not a fixed list of functions. What you need follows from your process.

  • Reading documents and receipts

Values from a PDF, photo or e-mail are recognised and assigned. A person checks and approves.

  • Moving data between programs

What is in one program reaches the next without retyping, by interface or import.

  • Receiving and creating e-invoices

Making incoming e-invoices readable and creating your own in the required format.

  • Text suggestions for quotes and replies

A draft is prepared from the inquiry and your own templates. You check, change and send.

  • Questions to your own documents

Answers from your manuals, contracts or instructions.

  • Reports on a schedule

The monthly figures arrive by e-mail on a fixed date, without an afternoon in Excel.

An example process

This is how it could look.

A typical case with incoming receipts. In yours it looks the way you work.

  1. A receipt arrives

An invoice comes by e-mail or is photographed with a phone.

  2. Values are read

Supplier, date, amounts and tax rate are recognised and suggested.

  3. A person checks

You see receipt and suggestion side by side, correct where needed and approve.

  4. Export

The approved data goes as a file to your accounting or your tax office.

AI is not an end in itself

I only use AI where it takes work off your hands. Every suggestion is checked by a person, and the costs have a fixed upper limit. AI also helps me with analysis and development. Whatever is binding, I check and decide myself.

Who is it for? Small and medium-sized businesses, offices, administrations and service providers who move data by hand: receipts, e-mails, Excel lists or two programs without a connection.

Which data goes to an AI service, who processes it and how you settle that with your customers and staff is explained under AI and data protection and How I use AI.

Single processes in detail.

Each of these can be built on its own or added later as a stage of its own.

How your automation comes about

A fixed sequence.

Conversation, written scope, fixed price, acceptance, operation. You follow the status of your project in a customer portal.

  1. Conversation

You describe which work repeats. We clarify what is automated and what stays with you.

  2. Service description and fixed price

Scope and price are in writing before development starts.

  3. Development in stages

I develop with test data. You see a first version early.

  4. Acceptance

You test the process with real cases and accept it.

  5. Operation

If you like, I run and support the automation on servers in Germany.

Price orientation

What you can expect.

An application of your own with automation and AI assistance from €3,900 net, plus AI usage.

What the starting price covers: One type of document that one person approves, with export as a file. No interface to third-party systems. AI usage billed by consumption.

This is an orientation, not a quote. The actual fixed price follows from the written scope you receive with the quote before the project starts. Single smaller automations are available as a package, see services.

Offers only for businesses (§ 14 BGB). All prices net plus VAT and ongoing operation.

Questions

Do I get the same software as others?

No. Only the technical basis is the same: I do not rebuild login, roles, documents, notifications and the connection to AI services every time. Which processes are automated comes from your daily office work and is set down in writing before work starts.

What is included in the price?

The fixed price covers developing the agreed scope, setting up the AI assistance, the introduction for your team and the acceptance. Ongoing AI usage is charged by consumption on top, as are operation and support. Exactly what is included is in the service description of your quote.

Are there smaller automations too?

Yes. Single, clearly defined tasks such as e-invoicing, a receipt flow or an interface are available as a package at their own fixed price. You find them under services and on the individual solution pages. The starting price on this page is for an application of your own with approval and export.

Do I need AI at all?

Not necessarily. Much can be automated with fixed rules, such as moving data or a report on a schedule. I only use AI where content has to be read or texts prepared.

What does the AI cost in ongoing use?

That depends on how many receipts or texts are processed. AI usage is charged by consumption. It has a fixed upper limit so that the costs do not rise unnoticed.

What happens if the AI makes a mistake?

That is why a person approves. The AI prepares and suggests; it decides nothing that goes out or gets booked.

Which programs can be connected?

Programs with an interface or an export, for example accounting, merchandise management or a mailbox. I check beforehand whether that works with yours and tell you openly.

Which work do you do by hand every week?

Describe your process, in three short steps or in a conversation. You then get an honest assessment of whether automation pays off.
